We are seeking a skilled Office Administrator to oversee administrative operations for our retail stores, including the management of their online websites. The successful candidate will be responsible for managing office tasks such as bookkeeping, data entry, office management, and communication with vendors, customers, and staff. You will also be responsible for managing the online presence of each store, ensuring that the website is up-to-date, visually appealing, and user-friendly.
As the Office Administrator, you will report to the General Manager and ensure that each store operates efficiently and effectively, both in-person and online. The successful candidate will be a detail-oriented individual with strong organisational and communication skills, as well as familiarity with bookkeeping and accounting principles. Proficiency in Microsoft Office and other office software is essential, as well as the ability to work independently and as part of a team. - Manage office tasks such as bookkeeping, data entry, and office management.
- Handle bookkeeping duties such as invoicing, billing, and account reconciliation.
- Handle data entry tasks including sales data entry, inventory tracking, and managing customer records.
- Oversee office supplies, including inventory organisation and ordering.
- Ensure proper filing and organisation of paperwork and records.
- Manage communication with vendors, customers, and staff.
- Provide general administrative support to the management team and staff.
- Assist the General Manager & Buying team with special projects and initiatives.
- Manage the online presence of each store, including website maintenance, content management, and user experience.
- Monitor website traffic and performance, and make improvements as necessary.
- Collaborate with marketing and sales teams to develop online marketing strategies.
- Manage phone calls and correspondence from e-mail, social media, website queries, letters, packages etc.
- Manage Shopify chat messages and from social media
- Preparation and upload of Purchase Orders onto company POS system (Microsoft Dynamics POS & EposNow) and products onto online store (Shopify)
- Conduct regular price checks on items sold, ensuring margins are maintained
- Create shop signage and ensure it is consistent with our brand and company ethos
- Floor cover and assist colleagues whenever and wherever necessary
- Associate's degree in business administration or a related field.
- 2+ years of experience in office administration, preferably in a retail setting.
- Strong organisational and communication skills.
- Proficient in Microsoft Office and other office software.
- Familiarity with bookkeeping and accounting principles.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Familiarity with retail operations is a plus.
- Experience with website management and content management systems preferred.
- Must be able to sit and stand for extended periods of time.
- Must be able to lift and carry up to 25 pounds.
- Must be able to work in a fast-paced and sometimes stressful environment.
